Role Overview

As an Executive Assistant – Operations & Digital Systems, you'll be responsible for the complete program management of ongoing research internships, content tracking, Team coordination, internal documentation, social media content uploads, and structured knowledge management. This is a dynamic, high-ownership role with significant impact.

Key Responsibilities

  • Digital Content Management
    • Upload recorded courses, resources, and updates to the LMS or other platforms.
    • Assist with quality checks and version control before publishing course content.
    • Create and maintain internal folder structures for seamless access to files, blogs, carousels, certificates, etc.
  • Tool Setup & Platform Support
    • Support ongoing LMS setup and ensure operational hygiene (naming, access, uploads).
    • Maintain backend for knowledge base (toolkits, blogs, newsletters).
    • Coordinate with interns and content teams to ensure timely uploads and template finalization.
  • Process & Documentation Oversight
    • Create SOPs, checklists, and trackers (on Notion, Sheets, or Docs) for all internal workflows.
    • Document all toolkit templates and manage version updates with founder approval.
    • Organize folders, contracts, checklists, and important compliance materials.
  • System Coordination & Internal Tools
    • Regularly update and clean internal databases and drives.
    • Track intern blog and carousel submissions for publishing.
    • Coordinate with Team to maintain theme consistency across assets and workflows.
  • Cross-Team Support
    • Support Team on high-volume activities (e.g., newsletter publishing, blog formatting).
    • Act as a tech-ops bridge for the Founder—converting raw ideas into structured systems.
    • Assist in testing content delivery (YouTube previews, certificate integration, etc.)

Qualifications

Educational Qualification (Minimum Required):

Bachelor’s Degree in any of the following: B.Tech, BBA, BCA, B.Com, BSc (Information Technology or Computer Science), BA (Mass Comm, Digital Media, or Economics with tech electives). Final-year students who have completed their exams and are available full-time are also encouraged to apply.

Preferred Background/Experience (Not Mandatory, But Ideal):

  • Prior internship experience in backend operations, content uploads, or CRM.
  • Experience with LMS platforms, Google Workspace, Odoo, Notion, or similar tools.
  • Familiarity with organizing knowledge bases or documentation libraries.
  • Prior internships or roles in content writing, blogging, or newsletter creation.
  • Research or documentation support.
  • Social media or marketing coordination.
  • Managing or mentoring intern teams.
  • Virtual assistant or executive assistant support.

Proof of Work (Preferred):

  • Blogs, articles, or carousel samples.
  • LinkedIn post drafts or social media samples.
  • Internship certificates or reference letters.

Key Skills Required:

  • Strong English communication (written & verbal).
  • Task ownership & process thinking.
  • Proficiency in Google Workspace.
  • Organizational ability & attention to detail.
  • Self-starter mindset & reliability.

Work Structure & Timings

  • Working Days: Monday to Saturday (half-day on Saturday)
  • Work Hours: 11:00 AM to 7:00 PM IST
  • Leave Policy: 2 casual leaves + 1 sick leave over a 2-month period. Up to 2 unpaid leaves allowed with prior approval.
  • Flexibility: 1 "Flexi Day" per month permitted with prior intimation.
  • Reporting: Daily task updates via WhatsApp or designated tool; Weekly founder check-ins.

Salary & Variable Pay Structure

  • Fixed Salary Range: ₹8,000 to ₹12,000/month (decided post-interview)
  • Variable Pay: 25% of Fixed Salary per month.
    • Variable Pay is linked to: Task completion and quality of execution, initiative and ownership, inter-team coordination, and contribution to overall company progress. Note: Variable payout is subject to monthly performance review and is not guaranteed.

Contract & Conversion

This is a contract-to-hire role for an initial period of 2 months. Based on your performance and mutual fit, the contract may be extended or converted into a full-time permanent role with revised compensation.
